Zoom Meeting Etiquette

Please Try to Arrive On Time

Getting ready:

1. Find a quiet space in your home that limits distractions from television, barking dogs and other household members.  Click the email link about 10 minutes prior to the hour and wait to be admitted by the Host. (Good time to check Audio and Video)


2. If you join the meeting late, MUTE yourself before joining. 


3. Make sure that you are appropriately dressed.  No bare chests or PJ’s.


4. Close unneeded applications on your computer. This helps your computer function at maximum Zoom capacity.


5. Be mindful of your background lighting. If there is a window behind you, it may cast too much light in the video. It is best to have the window in front of you for lighting purposes. Your overhead light may have to be turned on/off. Work with what you have to make it the best it can be.


6. If you are using a virtual background and sit too far away, we will not see your face.


While in the Meeting:

  • Mute your mic (Hover your mouse over the lower left corner of your screen for PC, and click on the little microphone)(press *6 for phone). This may also be done by the Host of the meeting for everyone after the meeting begins.  
  • To speak, press the “spacebar” and hold it down like it is a Push-to-Talk button on your radio, in order to Unmute yourself.  This is important because it helps to avoid background noises that can be very distracting to other participants.
  • To make a comment or ask a question:  Push and hold the “spacebar” like it is a Push-To-Talk button and then ask to make a comment or ask a question.When you are finished answering a question, it is a good idea to let others know by saying “That’s all” or “Thank you”.
  • When using the “Chat” box to make a comment or ask a question, this can be directed at the entire group or just one individual.  If the meeting is being recorded by the Host, this chat could be recorded as well, so be kind, keep it relevant and professional.  Keep in mind that most members are still unaware of how to use the Chat box function.
  • You may turn your video off (lower left corner of your screen for PC) if you need to leave temporarily or have something distracting going on in the background.
  • Please refrain from picking your nose, teeth or ears; walking around with your computer/phone and/or eating during a meeting.
  • During the meeting, you have the choice of Gallery View or Speaker View (Hover your mouse over the upper right corner of your screen and click to toggle).  Those of us on Speaker View, will see and hear the above items, full screen, if you are not muted.
  • About ten minutes or so, both before and after each meeting, is a good time to chat and ask non-meeting related questions. Usually towards the end of a meeting, there is a call for “QST’s”, which means announcements.
  • It is a nice gesture to thank the Host for Hosting the meeting.
